We are looking for a professional Receptionist to join our client – One of the biggest Event Master Planner in UAE and Saudi Arabia.

Responsibilities

Noting telephone message and passing information with detailed info.
Directing visitors to appropriate team member.
Answering 2nd call on our telephone set, in order to avoid the caller to be in que for long time.
Attention to detail while taking Guest name and company name.
Make sure to see if conference rooms are ready prior to any meetings.
Avoid playing loud music on reception while on call or attending guest or during ongoing meetings in conference rooms.
Prioritize any task asked by Chairman or CEO.
Basic knowledge to connect the gadgets in meeting rooms.
Not to Cc or Bcc on any emails unless asked to do so, in order to avoid any breach of confidentiality.
Be polite while giving instructions to Drivers and Office boy.
To keep track of stationery requirements and notify me to place an order on time.
Sending correct Office location map or explaining Office location for visitors.
Liaising with HR for booking conference rooms.
Handover office expense receipts on time.
Circulating staff telephone list on monthly basis.
Do not place anything in Managements office without informing them, incase if he/she is not in office.
Any courier or parcel for Chairman or CEO to be handed over on timely manner.
Booking courier service.
Be consistent with lunch break and release office boy to take his lunch on time.
Avoid leaving reception unattended while any Management meetings.
 

Qualifications

Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree; additional certification in Office Management is a plus
