We are seeking to hire a high calibre Front Office Assistant to provide secretarial and administrative support to our Dubai office. The role will report to the ACH Partners.

 

In more detail, the areas of responsibility include:

Providing administrative support to Partners and other lawyers i.e., printing/scanning documents, managing their calendars, scheduling meetings, booking meeting rooms and setting up video / conference calls for virtual meetings.
Welcoming and accommodating clients accordingly.
Onboarding new and existing clients and ensuring that all their documents are filed and updated accordingly.
Handling queries both in person and/or on phone and email.
Receiving phone calls and transferring them to the relevant persons.
Sending and receiving parcels from different courier companies and dispatching them accordingly.
Assisting with flight and hotel bookings for all staff, following up and co -ordinating with travel agents.
Staff welfare and engagement e.g., organising and celebrating staff milestones.
Organising lunch for guests or clients on a need basis.
Coordinating office activities and operations to ensure smooth operations.
Coordinating with an external team in matters relating to Compliance.
 

Experience and personal qualities:

Diploma or bachelor’s degree from a recognized institution.
At least 5 years work experience in similar role.
Proficient in the use of IT Systems including Microsoft Office packages.
Excellent verbal and written communication skills and an ability to communicate clearly with a range of people from diverse backgrounds.
